Guidelines of Special Support for Ukrainian International Students

AY2024 Exchange Student Program for Kanagawa University and Graduate School
As the situation in Ukraine continues, Kanagawa University wishes to provide opportunities for study/research of Ukrainian nationals, and therefore would like to make a call for applications for Ukrainian nationals attending any of the partner institutions mentioned below link with which we have signed Academic Exchange Agreements and Memoranda of Understanding for Student Exchange.

Those who are eligible and wish to participate, please send an e-mail to Ms Boglárka Békési (boglarka.bekesi@rk.elte.hu), who will nominate you until 29 September Noon at the latest.

■Special Documents to apply for Special Support for Ukrainian International Students

A proof to show that they are not required to serve in the military and a document of around 1 A4 page indicating their reasons for applying for this scholarship program need to be submitted to the following.

■1st (Spring) Semester Nomination Period for Partner Universities: 1st August- 30th September

※If there is more than one student to be nominated, please register each student separately in this form. Also, please submit a new nomination for those who have been deferred from the previous semester.

■Application Period for Nominated Student: 1st August - 15th October

※Only those applications by students who have been nominated by their home university will be accepted. Please ensure submission of all application materials within this period. In the case that application submission is not completed, in principle the application will not be accepted.

Only students who can participate from the orientation to the Pre-Return Report Session at the end of the semester can apply. So please check the schedule carefully.

Application Procedure

Please complete the following procedure by 15th October 2023 for the exchange program of First (Spring) Semester 2024.

※The deadline for uploading all the documents is 15th October 2023.

※ As the university staff will submit these documents to the Immigration Services Agency of Japan, they would like to ask any students who have postponed their exchange to NOT re-use the documents that they submitted previously and to submit entirely new documents.

※ With regards to the "Certificate of Physical Condition", after Kanagawa University has made the decision to accept exchange students in Japan, they will ask each student to take a health examination themselves and submit the form. Submission of this form is therefore not necessary until a student has received notification from us to do so.

1. Register yourself and create your account on the website above (if you have not already done so).

You will need to provide the following "Account Registration Code".

2. Fill in the on-line application form and register the content.

3. Make PDFs of necessary documents and upload them on the website.

※ There is a 100 MB limit on uploading files at one time so it may be necessary to upload the files in separate installments (logout and log in again) .If you are not able to upload the files, please first tell the staff that there is a problem (for protection of data security, they ask you not to send files as an email attachment).

They will contact you with a different submission method after they hear from you.

4. KU International Center will check the uploaded documents.

Once they confirm them, they will email staff and the student(s) and inform you the details with regard to further procedures.

So, please ensure the student(s) keep(s) the original documents and printed application form until then.

Please ensure you or your student(s) do NOT post the original documents as we no longer accept them by post.
