Erasmus+ International Credit Mobility For Incoming Students: After the Mobility

Here you can find information on how to close your Erasmus+ mobility.

By submitting the Erasmus+ closing documents, you fulfil the obligations laid down in the Grant Agreement and you officially close your mobility.

THE LIST OF DOCUMENTS TO BE SUBMITTED:

The listed documents should be submitted within thirty (30) calendar days from the last day of the mobility period to erasmus.icm@dep.elte.hu. If you cannot meet this deadline through no fault of your own, please inform us about it.

If you participated in a long-term mobility for studies:

  1. Transcript of Records. This document contains all the courses that you completed at ELTE and their credit value. Please keep in mind that you must complete 20 ECTS credits. Transcript of records is issued by your Faculty International Office. Please visit them in order to obtain this document.

In case you could not fulfil the 20 ECTS credit requirement, you will have to pay back a proportionate part of your scholarship (and this will be deducted from the 10% remaining grant). In this case, it is also possible to submit a formal request to the leaders of the Faculty at the Sending Institution and ELTE’s Faculty clearly explaining the reasons why you have not been able to fulfil your original study plan (20 ECTS credits) and asking the leaders of the Faculty at the Sending Institution and ELTE’s Faculty to waive the repayment obligation. If both parties accept your request and sign it, we can initiate the transfer of the remaining 10% of your scholarship.

  1. Certificate of Attendance. This document confirms the exact dates of your mobility, please ask your Faculty International Office to fill it out and sign it.

  2. Participant Survey.  You are required by the European Commission to complete an online report about your Erasmus+ mobility. You will automatically receive an invitation to complete it by e-mail within 1 day of the closing date specified in the Grant Agreement. Please note that you shall complete and submit it after the mobility within 15 calendar days upon receipt of the invitation to complete it. Please, after completing the survey download it as a PDF document and submit it to us via email as well.  
  3. Proof of green travel: If you have been awarded a green travel additional support, you must keep your travel documents and send them to us to prove the realized green travel at the end of your mobility. Please therefore take care of the tickets used during the journey. Possible forms of proof:
  • travel documents (travel tickets - e.g. bus ticket, train ticket), which contain your full name, the travel dates and the location of departure and arrival, or

  • if you do not have the tickets (e.g. you traveled by carsharing, car-pooling, train ticket without a name), you are required to submit a legal liability form signed with a pen and scanned.

If you participated in a short-term or long-term doctoral mobility for the purpose of research activity:

  1. Learning Agreement After the Mobility section (please find this section in the Learning Agreement that you submitted us before starting your mobility). Please contact your supervisor or academic coordinator to fill it out indicating the activities that you have carried out at ELTE and confirming that you were present at the institution during the entire mobility period.

  2. Participant Survey.  You are required by the European Commission to complete an online report about your Erasmus+ mobility. You will automatically receive an invitation to complete it by e-mail within 1 day of the closing date specified in the Grant Agreement. Please note that you shall complete and submit it after the mobility within 15 calendar days upon receipt of the invitation to complete it.   3. If you participated in a traineeship mobility:  

  1. Learning Agreement After the Mobility section (please find this section in the Learning Agreement that you submitted us before starting your mobility). This section indicates the activities that you have carried out at ELTE and confirms that you were present at the institution during the entire mobility period. Please contact your supervisor or academic coordinator to fill it out and sign it.

OTHER IMPORTANT INFORMATION ABOUT CLOSING YOUR MOBILITY

If you participated in a long-term mobility (longer than 2 months), the remaining part (10%) of the Erasmus+ grant can only be transferred if you have fulfilled your obligations during the mobility.

If the actual duration of your mobility is shorter than indicated in the Grant Agreement, the amount of scholarship will be recalculated to the shorter duration at the end of the mobility and you will have to reimburse the difference if it is not covered by the 10% remaining stipend to be transferred at the end of the mobility.
