Call for application - CEEPUS Freemover mobility 2024/25

Tempus Public Foundation announces the invitation for students of ELTE to submit Freemover applications in the CEEPUS mobility programme for the Academic Year 2024/2025.

 Autumn Semester, 2024/25 (updated: 22 July 2024)

  • For the first semester, applications can be submitted only to the following countries: Bosnia and Herzegovina, CroatiaNorth MacedoniaSerbia, the Slovak Republic and Slovenia (in the latter case only students and lecturers traveling to special courses).

  • The submission deadine may vary in each country. For more information, please contact the host National CEEPUS Office (NCO).

Spring Semester, 2024/25

  • Applications can be submitted to any CEEPUS member country.

CEEPUS Member Countries: Albania, Austria, Bosnia and Herzegovina, Bulgaria, Croatia, North Macedonia, Moldavia, Montenegro, Poland, Prishtina/Kosovo, Romania, Serbia, Slovakia, Slovenia, the Czech Republic.

I. Eligibility

A) General Conditions

Students of ELTE can apply.

Further conditions:

  • To be a citizen of a CEEPUS member state (or of an EU/EWR state respectively). Students who do not have the citizenship of a CEEPUS member state need to upload an „equal status document" that proves their status at the home institution (e.g. Certificate of Enrolment in English).
  • For students, to have 2 completed semesters until the mobility period, and active student status at the home university during the mobility period
  • It is not allowed to submit an application to the country of citizenship and to the country of residence.
  • It is not allowed to receive a second mobility scholarship from other sources, to cover costs for the same mobility activity, destination and time period (avoiding double financing), therefore:

Students studying in Hungary in the framework of Stipendium Hungaricum programme are:

  • eligible to apply for Short term student mobility (ST) for a maximum of 30 days
  • not eligible to apply for
    • Student mobility (S)
    • Short term student mobility (ST) longer than 30 days

based on the operational regulations (version 25.07.2023) of the Stipendium Hungaricum Programme.

B) Conditions of each mobility types
  • Student mobility (S):
    • Eligible applicants: Bachelor, Master and PhD students
    • Length of mobility: 1 semester or trimester, 3-5 months (Minimum duration of mobility period: full months +16 days for the last month)
    • Activity during the mobility period: attending lectures and seminars, obtaining credits is obligatory, which can be supplemented with an internship. The proposed activities should be described in the ’Motivation’ part of the application.
    • Learning Agreement is highly recommended
    • Student mobilities can be submitted in a network or as Freemover applications.
  • Short term student mobility (ST):
    • Eligible applicants: Bachelor, Master students who are currently working on their thesis and PhD students
    • Length of mobility: 1-2 months (min. 21 days)
    • Activity during the mobility period: obligatory research activity, consultation, laboratory project relating to the thesis/dissertation. The proposed activities should be described in the „Motivation” part of the application.
    • Student mobilities can be submitted in a network or as Freemover applications.

II. Scholarship rates

As the CEEPUS scholarship is awarded and paid by the host country, the amount is different in every country. The same scholarship amounts apply to both Network and Freemover mobilities. You can view the current scholarship rates for the CEEPUS countries here, at the National CEEPUS Offices.

If a grant holder does not stay in the host country for the full length of the period specified in his/her award, he/she may be required to pay back the amount of the scholarship. Months cannot be split.

Attention! For ELTE students who have been awarded a CEEPUS scholarship, additional financial support is available in addition to the basic CEEPUS scholarship provided by the host country. III. Places available

CEEPUS Freemover applicants need to find and contact the host university themselves and obtain the Acceptance document from the host university of a CEEPUS member country. 

We recommend choosing a host institution that already has CEEPUS activity in order to minimize administrative obstacles. List of institutions with CEEPUS activity. For help in finding a host institution, please check our homepage here at IV.B.

IV. Application process

Submission deadlines for CEEPUS Freemover mobility applications: 30th November

Applications can be submitted online, on the website of the Central CEEPUS Office (www.ceepus.info). Follow the step-by-step guide for the online application process:

1) Registration: www.ceepus.info / Sign in / Click here to register / fill in the registration form / click on the link received via email

ATTENTION! You have to register only once! In case you submit further applications, please use the same login.

2) Filling in the application form: www.ceepus.info login/ Mobility Desktop / Your mobility application / Academic year (dropdown menu) /Action / choosing option (yes → network mobility; no → Freemover mobility) / filling in the online application form

3) Uploading documents (pdf, jpg):

  • Letter of Acceptance: a document issued by the host institution about their willingness to receive you
  • 2 Letters of Recommendation: issued by lecturers of your home university
  • Not being a citizen of a CEEPUS member country: Equal Status document (e.g. Certificate of Enrolment in English/ first page of work contract in English)

You can download the blankets from www.ceepus.info. All documents have to be signed and stamped. Other forms are not acceptable.

Submitting an application to Austria, you do not have to attach the documents. After the application deadline, the Austrian National CEEPUS Office draws up a shortlist of applicants and send them an 'upload documents' request. This is when you can attach your Letter of Acceptance and Letters of Recommendation. Make sure you use the official CEEPUS forms!

4) Finalizing application: click on ’check & submit’

Online support: in case of technical problems, you can contact the www.ceepus.info website’s IT support by clicking on the green support button in the site’s upper right corner. This is an online chat helpdesk service in English and German.

You can follow the stages of your application:

  • Status: submitted / waiting for the award from the host NCO: the application is waiting for the host National CEEPUS Office to award or reject it
  • Status: awarded by host NCO/ rejected by host NCO: the host National CEEPUS Office’s answer to the application
  • Status: accepted by applicant: in the case of awarded application, the applicant has confirmed that s/he has accepted the scholarship
  • Status: postponed by the NCO: if the unstarted mobility needs to be postponed due to the epidemic situation, this should be agreed with the host institution and asked from the host NCO
  • Status: interrupted by the NCO: if the started mobility needs to be interrupted due to the epidemic situation, this should be agreed with the host institution and asked from the host NCO

V. Final results

In CEEPUS, the final results of the applications are given by the host National CEEPUS Office. In the meantime, you can check the status of your application on www.ceepus.info. First, you will receive an automatic email from www.ceepus.info about the application being awarded (Status: Awarded by host NCO) or rejected (Status: Rejected by host NCO), then your Letter of Award will be issued and sent to you with an information package from the host National CEEPUS Office.

You can expect the result for your application usually 30-45 days after the submission deadline.

If your application has been awarded, you have to send feedback to the host National CEEPUS Office that you still intend to have your mobility by accepting it in the online system. In the case of Freemover applications some of the National Offices also require the Letter of Acceptance signed and sent back via post.

Now the Status is Accepted by applicant.

VI. Closing your mobility

Awarded CEEPUS outgoing students are obligated to close their mobility within 30 days of the end of the mobility period.

A) For all awarded CEEPUS outgoing students

At the end of your studies, two documents are needed to close your mobility and to complete your application:

1. The „Mobility Report” - signed/stamped by the host institution

  • The Mobility Report is your own summary about your study period. Awarded CEEPUS students are obligated to fill it out at www.ceepus.info. The Mobility Report will only be available for applications accepted online (Accepted by applicant status).
  • The filled out report should be sent to the host coordinator, who signs and stamps the document.
  • A scanned version of the signed and stamped original has to be uploaded to www.ceepus.info in order to send your application to the final status 'Completed'.

2. The „Letter of Confirmation” signed/stamped by the host institution

  • The Letter of Confirmation is the proof of your stay (certificate of attendance) at the host institution, issued, signed and stamped by your host coordinator. A scanned version of the signed and stamped original has to be uploaded to www.ceepus.info in order to send your application to the final status 'Completed'.

Please be aware that other forms are not acceptable, the forms uploaded should be downloaded from www.ceepus.info, containing the QR code.

B) For students participating in a full semester student mobility:

1. The student submits the “Transcript of Records” document to the faculty coordinator, and the administrator of the Faculty Student Administration Office records the credits and their corresponding grades using the LA and the equivalence form. The general credit recognition procedure mandatory for all outgoing students, which is also valid for CEEPUS outgoing students is available here, and the programme specific information for CEEPUS is available here, in section V. (Planning your studies).

2. The student is obligated to submit the following information regarding their studies abroad to the institutional CEEPUS coordinator at erasmus@elte.hu within 30 days of the end of the mobility period:

  • Number of ECTS completed during their CEEPUS studies abroad
  • Number of courses completed during their CEEPUS studies abroad
  • Number of ECTS recognised at ELTE
  • Number of courses recognised at ELTE

I. Eligibility

A) General Conditions

Students and teachers of ELTE can apply.

Further conditions:

  • To be a citizen of a CEEPUS member state (or of an EU/EWR state respectively). Students/teachers who do not have the citizenship of a CEEPUS member state need to upload an „equal status document" that proves their status at the home institution (e.g. Certificate of Enrolment in English/ first page of work contract in English).
  • For students, to have 2 completed semesters until the mobility period, and active student status at the home university during the mobility period
  • It is not allowed to submit an application to the country of citizenship and to the country of residence.
  • It is not allowed to receive a second mobility scholarship from other sources, to cover costs for the same mobility activity, destination and time period (avoiding double financing), therefore:
  • Students studying in Hungary in the framework of Stipendium Hungaricum programme are not eligible to apply for CEEPUS scholarship (stated in their SH student contract)
B) Conditions of each mobility types
  • Student mobility (S):
    • Eligible applicants: Bachelor, Master and PhD students
    • Length of mobility: 1 semester or trimester, 3-5 months (Minimum duration of mobility period: full months +16 days for the last month)
    • Activity during the mobility period: attending lectures and seminars, obtaining credits is obligatory, which can be supplemented with an internship. The proposed activities should be described in the ’Motivation’ part of the application.
    • Learning Agreement is highly recommended
    • Student mobilities can be submitted in a network or as Freemover applications.
  • Short term student mobility (ST):
    • Eligible applicants: Bachelor, Master students who are currently working on their thesis and PhD students
    • Length of mobility: 1-2 months (min. 21 days)
    • Activity during the mobility period: obligatory research activity, consultation, laboratory project relating to the thesis/dissertation. The proposed activities should be described in the „Motivation” part of the application.
    • Student mobilities can be submitted in a network or as Freemover applications.
  • Teaching mobility (T):
    • mandatory teaching and/or thesis supervising activity at the host institution: minimum 6 teaching/supervising hours (lecture, seminar or consultation)
    • length of stay: minimum 5 working days (which technically counts 1 scholarship month in the www.ceepus.info system)
    • timing: teaching activity only during semesters
    • research activities, conference visit or partner meetings, etc. cannot be the only aim of a teacher mobility

II. Scholarship rates

As the CEEPUS scholarship is awarded and paid by the host country, the amount is different in every country. The same scholarship amounts apply to both Network and Freemover mobilities. If a grant holder does not stay in the host country for the full length of the period specified in his/her award, he/she may be required to pay back the amount of the scholarship. Months cannot be split.

III. Places available

CEEPUS Freemover applicants need to find and contact the host university themselves and obtain the Acceptance document from the host university of a CEEPUS member country. 

We recommend choosing a host institution that already has CEEPUS activity in order to minimize administrative obstacles. List of institutions with CEEPUS activity. For help in finding a host institution, please check our homepage here at IV.B.

IV. Application process

Submission deadlines for CEEPUS Freemover mobility applications: 30th November

Applications can be submitted online, on the website of the Central CEEPUS Office (www.ceepus.info). Follow the step-by-step guide for the online application process:

1) Registration: www.ceepus.info / Sign in / Click here to register / fill in the registration form / click on the link received via email

ATTENTION! You have to register only once! In case you submit further applications, please use the same login.

2) Filling in the application form: www.ceepus.info login/ Mobility Desktop / Your mobility application / Academic year (dropdown menu) /Action / choosing option (yes → network mobility; no → Freemover mobility) / filling in the online application form

3) Uploading documents (pdf, jpg):

  • Letter of Acceptance: a document issued by the host institution about their willingness to receive you
  • 2 Letters of Recommendation: issued by lecturers of your home university
  • Not being a citizen of a CEEPUS member country: Equal Status document (e.g. Certificate of Enrolment in English/ first page of work contract in English)

You can download the blankets from www.ceepus.info. All documents have to be signed and stamped. Other forms are not acceptable.

Submitting an application to Austria, you do not have to attach the documents. After the application deadline, the Austrian National CEEPUS Office draws up a shortlist of applicants and send them an 'upload documents' request. This is when you can attach your Letter of Acceptance and Letters of Recommendation. Make sure you use the official CEEPUS forms!

Attention! From the academic year 2019/20, those, who apply to Austria, need to fill out a „Finance Plan”. Information and the form is available at the Mobility Desktop. Applicants in "waiting for finance plan" status should fill out the form online, after the National CEEPUS Office of Austria has provisionally approved their application.

4) Finalizing application: click on ’check & submit’

Online support: in case of technical problems, you can contact the www.ceepus.info website’s IT support by clicking on the green support button in the site’s upper right corner. This is an online chat helpdesk service in English and German.

You can follow the stages of your application:

  • Status: submitted / waiting for the award from the host NCO: the application is waiting for the host National CEEPUS Office to award or reject it
  • Status: awarded by host NCO/ rejected by host NCO: the host National CEEPUS Office’s answer to the application
  • Status: accepted by applicant: in the case of awarded application, the applicant has confirmed that s/he has accepted the scholarship

V. Final results

In CEEPUS, the final results of the applications are given by the host National CEEPUS Office. In the meantime, you can check the status of your application on www.ceepus.info. First, you will receive an automatic email from www.ceepus.info about the application being awarded (Status: Awarded by host NCO) or rejected (Status: Rejected by host NCO), then your Letter of Award will be issued and sent to you with an information package from the host National CEEPUS Office.

You can expect the result for your application usually 30-45 days after the submission deadline.

If your application has been awarded, you have to send feedback to the host National CEEPUS Office that you still intend to have your mobility by accepting it in the online system. In the case of Freemover applications some of the National Offices also require the Letter of Acceptance signed and sent back via post.

Sending feedback about accepting the scholarship online: www.ceepus.info login / Mobility Desktop / Manage your mobility applications / Academic year (dropdown menu) / opening the awarded application / clicking on Accept.

Now the Status is Accepted by applicant.

The next step is to follow the instructions you receive from the host National CEEPUS Office.

VI. Closing your mobility

At the end of your studies/teaching activity, two documents are needed to close your mobility and to complete your application:

  • The „Mobility Report” - signed/stamped by the host institution
  • The „Letter of Confirmation” signed/stamped by the host institution

The Mobility Report is your own summary about your study period while the Letter of Confirmation is the proof of your stay at the host institution, issued by your local coordinator. Both documents have to be signed and stamped by your host coordinator. A scanned version of the signed and stamped originals have to be uploaded in order to send your application to the final status 'Completed'. You may also have to hand a copy to your home institution’s CEEPUS coordinator or International Office.

CEEPUS Freemover mobility - Call for application 2020/21

Tempus Public Foundation announces the invitation for students and teachers of ELTE to submit Freemover applications in the CEEPUS mobility programme for the Academic Year 2020/2021.

 Autumn Semester, 2020/21

  • For the first semester, a limited number of Freemover scholarships are available in some of the CEEPUS countries of which we publish information on our website at the beginning of summer.

Spring Semester, 2020/21

  • Applications can be submitted to any CEEPUS member country.

CEEPUS Member Countries: Albania, Austria, Bosnia and Herzegovina, Bulgaria, Croatia, North Macedonia, Moldavia, Montenegro, Poland, Prishtina/Kosovo, Romania, Serbia, Slovakia, Slovenia, the Czech Republic.
